How to create a security account for a new teacher by using access levels from another teacher

Select School Setup

Click Passwords menu - double click System Passwords

Select Staff pool - click on a new teacher who does not have a checkmark

(check marks show that the teacher already has a security account)

Select - Copy Access button - a checkmark is displayed beside the new teacher's name.

In the Staff Pool - double click on the new teacher's name - type in a user ID and password.

(Usernames and passwords are limited to 7 characters - letters and or numbers)

Click OK

How to create a custom tab for student fees

Select School Setup

Select Tabs menu - Multi Data Tab Designer - Students

Multi Data Std Tab Designer Tab 1 - shows you looking at the 1st custom student tab.

Select - Edit Title to change the name of the tab to Student Fees

Click OK

Select - Add Item - In the Field Column - enter - Fee Description

Select - Add Item - In the Field Column - enter - Fee Amount

Change the Type from Text to Numeric - Change the number of decimal places from 0 to 2

Activate the Summary Checkbox - Allow you to define if you want to see this field in the summary window

Select - Add Item - In the Field Column - Amount Paid - Change the Type from Text to Numeric - Change the number of decimal places from 0 to 2 - Activate the summary checkbox

Select - Add item - In the Field Column - Date Paid - Change the Type from Text to Date - Activate the summary checkbox

Select - Add Item - In the Field Column - Payment Type - Activate the summary checkbox

Click OK

How to activate Transfer Recording

Note:  Transfer Recording is automatically deactivated once you perform Next Year Prep.

Note:  Transfer Recording is probably better left deactivated until Mid-September when most course changes and class changes have been made.

Select School Setup

Select School Menu - double click Tansfer Recording

A window will open - Set both options to YES

Click OK

How to setup room numbers to be used as homerooms

From the Win School Shell - Select School Setup - Select Rooms - Double click on Room Setup.  Select Yes under "Use as HRoom" for each room being used.  Complete the grade and section - (example: 10B)

The homeroom number can be up to 7 characters or digits.

Click OK.

How to setup teachers to use eClass Grades

Open Win School - Select School Setup - Passwords - double click System Passwords.

Double click the teacher record you wish to work with.  If the teacher has a check beside their name, they have already been given a user ID.

This user ID will be the label for that teacher's eClass Grades folder on the server.  This ID should not be changed after the teacher has created classes for the year.  The ID can be up to 7 characters.

Repeat this process for each teacher you need to add.

Select Done.

How to setup administrator access to eClass Grades files

Open Win School - Select School Setup

Select Passwords - double click eClass Grades Password

In the password box - enter the password you wish to use (up to 7 characters)

Select the Browse button - Click on the folder where the teacher eClass Folders are kept.  Often the parentf directory for the SSRSB schools.

Select OK.

This process will create an "ECLASS.PRF" file in the folder.  Do not delete the file and you will be able to access the eClass Grades files.

How to assign a teacher access to eClass Attendance

Open Win school - select School Setup

Select Passwords - double click on System Passwords

In the Staff Pool - double click a teacher's name to bring their information into the active window.  Double click in the column beside the name to place a checkmark in the box to give them access. Highlight the name and select Delete Access to remove access for that person to eAttendance.

The User ID can be changed and a password can be entered.  Teachers must be made aware of their username and passwords to log into eAttendance.

The username and passwords can be up to 7 characters each.

In the list of Modules and Access Levels go down to eAttendance and change the access level from none to edit.

Select OK.

How to identify the Attendance codes to be used in eClass Attendance

Open Win School - Select School Setup

Select Attendance - Double click Daily Attendance Codes

Under eClass Att - Select the codes to be used

Select OK

Select Attendance - Double click Period Attendance Codes

Under eClass Att - Select the codes to be used

Select OK

How to identify the default absent and tardy codes to be used in eCalss Attendance

Open Win School - Select School Setup

Select Attendance - double click Daily Attendance Codes

Under Default Absent - Select the daily attendance code (ex. Unexcused Absent)

Under Default Tardy - Select the daily attendance code you wish teachers to use for students late for class.

Select OK.

Under Attendance - Select Period Attendance Codes

Under Default Absent - Select the daily attendance code (ex. Unexcused Absent)

Under Default Tardy - Select the daily attendance code you wish teachers to use for students late for class.

Select OK

How to define Grading Periods

Open Win School - Select School Setup

Select Report Cards - Double click Report Cards Bin

Enter the names for the grading periods in the Bin Name column.

For each used bin - Select the Use Flag to Yes

Select OK

How to enter the Points and Credits Table

Open Win School - Select School Setup

Select Report Cards - Double click on Edit Points and Credits Table

There should be 3 entries at the top section

Select new at the bottom to add another table name:

The bottom left you may want to set letter grades from the highest to the lowest with lower percentage limit - earned credits - either pass or fail.

When finished select OK.
