Clearing inactive student's schedules and requests

Start Scheduler - Click Multi-User - Click OK

Choose Edit - Preferences

Activate - Show Grade N/A Students - Show Inactive Students Preferences

Close Preferences - Save Changes

Click Student Button - Select Italics students and ones with grade N/A

Choose the Schedule menu - Change Students

Select - Clear Requests, Clear Alternates, and Clear Timetables

Select Perform

Done

Select - Scheduler - Multi-User - OK

Select Students - Hold Shift Key and select a student (It will select all students)

Select Schedule Menu - Change Students - Remove Duplicate Requests

Perform

How to validate scheduling data

Must be done in Master Mode.  No one else can be logged into Win School.

Select Scheduler - Master Mode - OK

Select Schedule menu - validate - OK

The problem may be fixed at this point.

If the problem is not fixed continue.

Quit Scheduler - Start School Setup

Select Schedule menu - Timetable Structure

Select Blocks in Schedule value and add 1 to the value.

(If it was 40, change it to 41) - click OK - Yes

Quit School Setup

If this does not fix the problem you should contact the Tech Support Site.

How to Clear Requests and Timetables for Students

Why would I want to do this? - These students are possibly being archived and this process must be done before this can happen.

Open Winschool - select Scheduler

Select the students whose requests/timetables need to be cleared.

Select the scheduler menu - select Change Students.

In the window that appears - select Clear Requests and Clear Alternates.

If the students have timetables then select Clear Timetables as well.

Select perform - it should go through and clear the records selected.

Tips and Techniques - Scheduler How To's

How to's for Scheduler:

To get a list of students requesting a course:

Select the Courses button.  Double-click the right side button on the mouse.

To get a list of students waiting for a course:

Select the Courses button.  Highlight a course.  Choose the list menu and select wait list.

To get a list of students in a class roster:

Select the Classes button.  Double-click the right side button on the mouse.

To move to the next or previous student in the student request or student timetable window.

Press the F4 key to go to the next student.

Press the F3 key to go to the previous Student.

To edit a student's schedule:

Left double click on the student's name.

To edit a student's course requests:

Right double-click on the student's name.

To get online help for Scheduler:

Press the F1 key.

To edit the master schedule:

Hold down the CTRL key and press 4.

To change current sort order:

Hold down the CTRL key and press L.

To move one page down in the student list:

Press the Page Down key.

To move one page up in the student list:

Press the Page Up key.

To move to the top of the list window:

Press the Home key.

To move to the bottom of the list window:

Press the End Key.

To locate a student in the Student window:

Sort the students by Name.  Then type in first 2 or 3 letters in the student's last name.

To get a list of students in a grade level:

Click on the Lists button.  Change the selector at the top of the window to Grades.  Then right-double click on the grade level.

To get a list of students in a program or team:

Click on the Lists button.  Change the selector at the top of the window to Normal Program.  Then right-click on a program or team name.

To get a list of students in a homeroom:

Click on the Rooms button.  Double-click the right button on a hommeroom number.

To get a list of students assigned to a specific counselor:

Click on the Teachers button.  Double-click the right button on a counselor name.

To determine how full teacher schedules are:

Choose the Windows menu - Performance.  Select Teachers.  The percentages will show in the right column.

To determine how much specific rooms are being utilized:

Select the Windows menu - Performance - select Rooms.

To determine the "best" period to schedule a class in the master schedule:

Select the Windows menu and select School Timetable.  Highlight a class.  Then click on the difficulties button to view the difficulty numbers.  The lower the number, the better the period is for filling the class.

To ensure random distribution of students into classes:

Before performing the Assign Students function, sort the student records by Grade Level in descending order and also by Random Order.

To ensure a student gets a particular class and remains in that class:

Schedule the student manually - select Windows - Student Timetable window.

To determine which periods have more students scheduled:

Select all students. (Hold the shift key and click the box for the first student)  Select Reports - Block Capacities Report.

To determine the breakdown of boys and girls by grade level in a class:

Select the Classes Window - double-right click on a class - select the students (Hold the shift key down and click the box for the first student) - Select Reports - Ethnic mix report.

To determine the breakdown of boys and girls by grade level in the school:

Select the Students Window - Select all students (Hold the shift key and click the box for the first student) - Select Reports - Ethnic mix report.

To determine which rooms are available in any period and semester.

Select the Rooms Window - select all rooms (Hold the shift key and click the box for the first room) - select Reports - Free Rooms.

To change the number of students that can be automatically scheduled into a single class or section:

Select the Windows menu - Sections - Highlight the course - in the bottom window - second column - click the arrow key until you see Capacity.  Change the value to the new Capacity.

To change section numbers for a class:

Select the Windows menu - Sections - Highlight the course - in the bottom window - second column - click the arrow key until you see Section.  Change the value of the Section.

To go to the next unscheduled class in the School Timetable window:

Select the Windows menu - School Timetable - Hold the CTRL Key down - click in the classes list.  The next unscheduled class that appears in red is displayed.

To manually schedule a class into the master schedule that is offered on alternating days:

Select the Windows menu - School Timetable - select Enter by Period - Schedule the class one day at a time.

To print a Teacher's schedule:

Select the Teachers Window - click on the box for the Teacher - Select the Reports menu - under Timetable - Teacher - select the terms and periods to report - OK.  The report will appear - under the printer in the top left corner - select print.

How to automatically assign all students to their homerooms based on their 1st period class

NOTE:  This process will overwrite the student's current homeroom assignment which was done in Details.

Select Scheduler - Select the Multi-User button - click OK

Select the Students button - Hold the shift key and click on the box for one student to select all students - Select Schedule - Assign Homerooms.

The second option is the one which allows you to set the Term, Day, and Period you wish to use to assign Homerooms.

Select OK - You will have to click OK a second time to confirm your choice.

How to Schedule a Group of Students into a Class

Select Scheduler in Mutli-User Mode - Select Classes - Highlight the class you want to put the students into.

Select Edit - Copy

Click Students and X the boxes for the students you want to place in the class.

Select Edit - Multi-Paste - Click OK.

Click OK if the Paste Failed for Students.  The students that remain selected are already scheduled for another class scheduled at the same time.

You may want to force the students into the course and overwrite the class they were already scheduled for.  If so, follow the next set of steps.

Select Edit - Preferences

In the Preferences - When Pasting Classes - select Remove Classes that conflict with paste.  If you only want this to occur once, be sure to change it back after you are done.

Close the window - and say yes to the save changes.

Select Edit - Multi-Paste - the students are now forced into the class.
