How to enter attendance for one student or a group of students

Select Attendance

In the calendar window - double click today's date - a window with all active students will open with today's date.

To enter the daily attendance for a student - select the student - double click on a daily attendance code or highlight the daily attendance code and press the enter key.

To enter the daily attendance for a group of students - hold the CNTRL key and click on the daily column for each student you want to change - double click the daily code you wish to use.

To enter the daily attendance for all students - select the daily column for a single student - go to the edit menu and select all - double click on the code you wish to use.  All students will receive the same code.

To enter the period attendance for a single student - select the period you wish to change for that student - double click on the code you want.

To enter the period attendance for a group of students - hold the CNTRL key and click in one period column for each student - double click on the code you wish to use.

To enter period attendance for all students - click in one period column for a single student - got to the edit menu - select all - double click on the code from the bottom of the window.  Each student receives the same attendance code.

To enter period attendance for all students in more than one period - click on one period column for one student - go to the edit menu - select all to highlight all students - double click on the period number above each period you wish to change to highlight that column - (double click column number again to turn it off) - double click the code wanted to enter the code.

To enter multiple days of daily or period attendance for a single student - double click on the student's name - the student's attendance record will appear and you can enter attendance as needed.

To figure out how many days a student has been enrolled - double click a student's name - click on the attendance icon with the hand symbol at the top of the window.  The attendance for that student will be displayed.

How to enter attendance by class, grade level or group

Select Attendance

Select the Windows menu - choose Directory

Select Classes - Double click on the class you wish to change.  Highlight one student - go to edit - select all - select periods by clicking once on the period numbers and select the code by double clicking the choice.

Close the windows and you are done.

How to setup End of Day Attendance Procedures

Warning:  This process should only be performed once a year.

Setting up Period to Daily Link.

Select Attendance - the Calendar appears - got to Edit - Period to Daily Links - Occurence Based

A window appears - select new link at the bottom of the window

It will add a new item in the window - Under the Minimum Period Code Occurences - click and hold the Off Track and change to Any Absence

To the left of the words Any Absence - change the 1 to 3 (this means that 3 or more period absences will be converted to a single daily absence)

Under the resulting daily code column - select and hold off track and select Unexc. Absent if available.

Under select periods - de-select any periods to be excluded such as a lunch period.

To create additional links - repeat the steps above

When finished - click Done

The End of Day Procedures can now be performed each day - period attendance will be converted to daily absences.

How to perform the End of Day Procedures

Select Attendance

The Calendar will open - Double click on today's date

Select the Attendance Menu - Select Calculate Daily from Period

The period attendance is now converted to daily based on your link setup.

Absences now appear under the Daily Long Code column for students.

How to setup the number of past and future days a teacher can enter attendance

Open Win School - Select Attendance

From the Attendance calendar - Select the Attendance menu - eClass Attendance Setup.

A small window opens and you can enter the number of past days and future days you will be able to change attendance for in eClass Attendance.

Click OK.

How to define the homeroom and periods in which attendance will be collected

Open Win School - Select Attendance

Select Attendance menu - Submission Exceptations

In the Teachers tab - Select the homerooms and homeroom teachers to collect daily attendance.

In the Periods tab - Select the periods that teachers will enter attendance for.

Click OK.

How to check unsubmitted attendance

Open Win School - Select Attendance

Double click on an attendance day - Select Reports - Unsubmitted Attendance

Select the From button - a calendar shows up and you can select a start date and click OK

Select the To button - a calendar shows up and you can select an end date and click OK

Select the period or daily attendance - click print and the report is generated.

Select the printer at the top of the report and select print if you wish to have a copy for your records.
