How to create a template to import or export student records

Open Win School - Select ASCII Transfer

Select File - New Template

Use "Student Template" as the name for the template - click the Student button when done.  This will open an edit window to add items to the template.

From the Field Categories - Select Demographics

From the Field Palette - Double click on Student Number

From the Field Palette - Double click on Student's Name (First)

From the Field Palette - Double click on Student's Name (Surname)

From the Field Palette - Double click on Student's Grade

Select the File menu and select save

Close the template.

How to import student records

Open Win School - Select ASCII Transfer

Double click the template to import student records.  If there isn't one, check the set of directions above.

Select the Student List window in the background - Select Import/Export and Select Trial Import.

Locate the file to import, highlight it and click OK.  You will be looking for a text file (.txt) with the student information.

Select OK in the Number of Records to Import Window.

The report window will open for you to check the fields and information.

If the fields do not line up - make the necessary changes to the template by rearranging the data fields to match the text file list.

Always run a trial import first.  When the setup is right - run the import and bring the records into Win School.

Check Details to see that the records came in without any problems.

How to export student records

Open Win School - Select ASCII Transfer

Open the template you want to use to export student records - (STUD INFO) is the template I have seen use for this process.

Select the Student List window in the background.

Click the boxes for the students to export - Hold the shift key down and click one box to select all - Hod the CNTRL key and shift key down at the same time to select the students below the first one you select.

Choose the Import/Export menu and select Export - Select the c:\ drive (double click the c:\drive) as a location to export the file to - enter a name for the file (export.txt) - It must end with .txt as it is a text file.

Select OK.

The report window will open and show the Exporting Students report.  Close when it is completed.
